We have an exciting opportunity for an Investment Administrator to join one of our impressive client’s largest teams in their Birmingham office. The role will support two successful Investment Managers within a very busy wider team and cover all administration requirements for investment management services and investment advice to a range of private and professional clients, IFAs, and the charitable/not-for-profit sector. Based on experience, the chosen candidate will initially be a source of support and assistance to the team. Concurrently, our client will support and mentor them as they receive training for any relevant qualifications they wish to undertake.

Key Responsibilities:

  • Assist Investment Manager(s) in providing investment management services and/or investment advice to a range of significant private clients.
  • Provide effective and efficient team support and client administration.
  • Assist with the administration of regular suitability checks for all clients by preparing fact find forms, suitability letters, etc.
  • Provide clients and/or their agents with information and reports about their portfolio.
  • Ensure all client relationships are properly documented on a timely basis, including maintaining “Know Your Client” information and data on the CRM system.
  • Answer phones, deal with queries from clients and intermediaries, and take appropriate messages.
  • Ensure new accounts and amendments to existing client accounts are opened in a timely and accurate manner.
  • General client administration: update team client task bar with all tasks, process and delegate client correspondence, process ISA subscriptions, manage internal and external post, book rooms for meetings, and set up boardrooms.
  • Undertake mail merges for quarterly market updates, marketing events, Christmas cards, etc.
  • Prepare reports, correspondence, and other relevant documentation including Investment Proposals and PowerPoint presentations for client meetings.
  • Update databases with revised client details.
  • Prepare and submit expenses claims, CPD logs, etc. in a timely manner for IMs.
  • Have a working knowledge of Excel, Word, and other Microsoft Office products.
  • Carry out any other duties reasonably requested by the line manager to ensure the smooth running of the client base.
  • Ensure all duties and tasks are completed within all relevant rules, compliance regulations, and in-house policies and procedures.

Key Criteria:

  • Willing to work for and with both teams while building up your skills and knowledge with the option to undertake professional qualifications.
  • Good Microsoft Office skills (Word, Excel, PowerPoint, and Outlook).
  • An open and inquisitive mind, willing to learn, debate ideas, and contribute.
  • Potential, if not current skills, to make the most of this exciting opportunity.
  • Good operational knowledge of interdepartmental processes.
  • A team player, with the ability to prioritise workloads, and a high attention to detail.
