Bell Cornwall Recruitment is thrilled to be recruiting for our prestigious client, seeking a dynamic and highly competent Personal Assistant / Senior Administrator. The main purpose of this role is to provide drive and energy supporting our Partners in a fast-paced work environment. You will be adept at building relationships with key clients and delivering high-quality secretarial and administrative support. This role also encompasses managing the Practice’s Social Value initiatives and achieving related goals and targets.

Key Duties:

Clients:

  • Proactive diary management for two Partners, including capturing all relevant information and creating daily itineraries with supporting information, list of attendees, and agendas.
  • Robust email management: read, forward, respond, flag actions, and archive emails as necessary.
  • Maintain an accurate action list for Partners with clear deadlines and accountability.
  • Organize domestic and international travel arrangements.
  • Provide ad hoc support such as minute-taking, filing, and screening telephone calls.
  • Coordinate new opportunities and business actions for Partners.
  • Assist with research and presentation preparation.
  • Manage and update the practice’s client database.
  • Oversee and manage Birmingham’s Social Value goals and initiatives.

People:

  • Arrange regular internal meetings with Studio Leads for each Partner.
  • Monitor and approve annual leave for Studio teams, highlighting potential clashes or project deadlines.

Finance:

  • Monitor and manage Partners’ expenses, ensuring compliance with company policies and accurate record-keeping.
  • Prepare purchase orders on Rapport and be aware of office and project budgets and authorisation limits.
  • Assist the Finance team with month-end requirements, including time sheet and sales invoice submissions.
  • Champion all modules on Rapport (ERP system) and provide training where required.

Quality:

  • Confirm IT requirements for room bookings to ensure proper setup.
  • Become proficient with IT presentation equipment to facilitate meetings and resolve basic IT issues.
  • Master internal office systems (Rapport, Newforma), promoting their use and quality management.
  • Assist with preparing information to maintain ISO 9001/14001 accreditation.
  • Maintain project information on Rapport for marketing and communication opportunities.

Key Criteria:

Qualifications:

  • Level 3 Business Administration or equivalent.

Knowledge & Experience:

  • At least 3 years of experience in a PA or senior administrative role.
  • Proficiency in Microsoft Office 365 applications (advanced level).
  • Familiarity with Rapport, Newforma, or other CRM applications.
  • Experience with Adobe suite applications.
  • Experience working in a busy office environment.
